Call for Conference Committee Volunteers

Committee Member Roles and Responsibilities

  • Participate in bi-monthly planning team meetings
  • Contribute to monthly status report including progress and risk mitigation plans for the ACMP Chicago Board
  • Meet (as needed) and work with Conference Board Liaison & Project Manager to review progress, issues and ensure coordination and linkage across planning team
  • Collaborate with fellow committee team members to ensure integrated conference design and seamless planning and execution
  • Serve as a conference ambassador – encourage individuals to attend and participate in conference
  • Establish timeline for assigned work stream and coordinate integration points with other work stream

Logistics Onsite Committee

  • Manage conference registration using Eventbrite system including reporting registration progress and onsite registration plan
  • Work with facility management on contract, logistics, planning, signage, etc.
  • Work with facility management or third party on audio-visual
  • Work with facility management or third party on food and beverage
  • Work with Content & Networking Lead on room layout and space requirements
  • Manage logistics for overall conference / venue set-up / event tear down
  • Work with Sponsorship Lead for exhibit hall needs and logistics
  • Assist in financial management as it relates to logistics
  • Support Project Manager on day of execution

Marketing Committee

  • Develop/manage marketing plan
  • Identify audience categories and outlets – members, non-members, Midwest chapter members, executives, companies, change management publications, press releases, social media, etc.
  • Organize and update distribution lists for Marketing activities
  • Develop and implement strategy to promote/market conference including website event page management
  • Develop onsite signage and resources for conference to reinforce ACMP Midwest brand and conference theme
  • Develop event content for Mobile App

Content Committee

  • Lead the design of the conference content by collaborating with members of the ACMP Midwest Board and other planning team members
  • Create agenda framework (so to know number of speaking spots)
  • Develop “Call for Content” strategy – system for submissions, review & selection methods
  • Coordinate with Marketing Lead to market to appropriate audiences
  • Secure and book speakers (keynote and breakout session) for the conference and
  • Review / confirm speakers and content with the ACMP Midwest Board
  • Coordinate a speaker training and or information packet
  • Coordinate with Marketing Lead to market agenda and speaker announcements
  • Act as onsite liaison for all speakers
